1. Draft proposals and documents from a template
Draft listing descriptions from your notes and photos, then edit for accuracy and local flavour.
How to start:
- Gather 2-3 of your best past documents as examples.
- Make a template with standard sections.
- Write bullet points for the new document and ask AI for a first draft.
A prompt to try:
"Using this structure: [template], write a first draft proposal from these notes: [notes]. plain language."
Watch out: Check every fact, figure and promise.
2. Triage the inbox and draft routine replies
Draft follow-ups after open homes and viewings from a short set of approved templates.
How to start:
- List your 5 most common email types and paste a good past reply for each into a document.
- Turn on the AI assistant in your email (Gemini in Gmail or Copilot in Outlook), or use a business AI chat plan.
- Create labels/folders and simple filters for each email type.
A prompt to try:
"Here is an email from a customer: [paste, with names and addresses removed]. Draft a friendly, short reply in plain English using the style of these examples: [paste]. Do not promise dates or prices."
Watch out: Remove customer personal details before pasting into tools that may keep or train on data.
3. Plan and draft a month of social posts in one sitting
Turn each new listing into a set of social posts in one go.
How to start:
- Collect 10-15 photos or stories from recent work (with permission).
- Ask AI for a month of post ideas and captions in your voice.
- Design with Canva templates.
A prompt to try:
"Suggest 12 social posts for a [business] in [region], mixing tips, behind-the-scenes and recent jobs. plain English, no hype."
Watch out: Get permission before posting customers or their property.
4. Summarise numbers into a weekly snapshot
Summarise campaign activity into a short weekly update for vendors.
How to start:
- Choose 5 numbers that matter (sales, jobs, debtors, hours, enquiries).
- Set up one spreadsheet that collects them.
- Each week, ask AI to summarise changes and flag anything odd.
A prompt to try:
"Here is this week's data (no personal details): [paste]. Summarise in 5 bullet points what changed vs last week."
Watch out: AI can misread numbers. Check totals against your accounting system.
A word of caution
Check every listing claim. Misleading descriptions breach consumer and real estate rules, whoever wrote them.
