How trades businesses can use AI
Most trades owners didn't start a business to do paperwork, yet quotes, invoices and phone tag eat into evenings and weekends. AI won't fix a leaking tap, but it can take a big share of the admin that sits around every job.
Want this tailored to your business? Our free score takes about 10 minutes and names your top 3 opportunities.

1. Draft quotes from job notes
Record a one-minute voice note after a site visit and let an AI assistant turn it into a tidy scope of works in your quote template. You still set every price.
How to start:
- Pick 3 good past quotes as examples and strip out customer details.
- Create a standard quote template with your terms.
- After each site visit, record a 1-minute voice note of the job.
A prompt to try:
"Turn these job notes into a clear quote description for a customer, using the layout of this example: [example]. Notes: [notes]. Leave all prices as [PRICE] for me to fill in."
Watch out: AI must never set the price. Check every number yourself.
2. Automate invoice reminders and follow-ups
Switch on the automatic reminders already built into your accounting software, then use AI to draft a polite follow-up for the few invoices that stay overdue.
How to start:
- Switch on automatic invoice reminders in your accounting software (for example 3 days before, 7 and 14 days after due).
- Write a firm-but-friendly reminder sequence.
- Each fortnight, export overdue invoices and ask AI to draft personal follow-ups for any over 30 days.
A prompt to try:
"Write a polite but firm reminder for an invoice that is 21 days overdue. Keep it under 100 words."
Watch out: Do not paste full customer financial details into free tools.
3. Let customers self-book and get automatic reminders
Let customers pick a time from your real availability and get automatic reminders, so fewer jobs start with three missed calls.
How to start:
- Decide which appointment types can be self-booked.
- Set up an online booking page connected to your calendar.
- Turn on automatic confirmation and reminder messages.
A prompt to try:
"Write a friendly booking confirmation and a reminder message for a [type of business], under 60 words each."
Watch out: Keep some time blocked for urgent jobs.
4. Answer common enquiries faster
Write approved answers to the questions you get every week (call-out fees, areas covered, how soon you can come) and let AI draft replies from them.
How to start:
- List the 10 questions you get most.
- Write approved answers once and publish them as an FAQ.
- Use AI to draft replies from your FAQ for each new enquiry.
A prompt to try:
"Using only this FAQ: [FAQ], draft a reply to: [enquiry]. If the answer is not in the FAQ, say we will get back to them."
Watch out: Tell customers when they are chatting with AI.
A word of caution
Never let an AI tool set prices or promise arrival times, and keep customer addresses out of free AI tools.
